Refund & Cancellation Policy

This page sets out, in one place, how Warmerly charges, renews, changes and cancels plans and add-ons. It forms part of our Terms of Service (mainly sections 11 and 12), and words defined there have the same meaning here. Where the two ever differ, the Terms of Service govern.
1. The Free plan cannot be charged
Warmerly has a Free plan. It needs no card, has no time limit, and is not a trial that runs out. One mailbox is warmed by Warmflow, you get one active campaign, 100 campaign sends a month and 500 leads per campaign, and warmup itself is never metered.
Because no payment method is held, there is nothing to cancel and nothing to refund. You can stop using the account whenever you like, or delete the workspace from Settings. Moving from Free to a paid plan, or buying an add-on such as a hosted mailbox, is the only step that ever asks for a card.
2. Paid plans and the 7-day trial
- Starting a paid plan normally begins a 7-day free trial. A card is required to start it.
- Nothing is charged during those 7 days. The first charge lands on day 8, for the plan you are on at that point.
- The trial is available once per workspace. A workspace that has already had one is charged straight away when it subscribes again. You can also choose to skip the trial and be charged straight away.
- If the workspace is already paying for hosted mailboxes, adding a plan to that existing subscription is charged straight away, without a trial, because a trial would pause billing for the mailboxes too. The checkout says so before you confirm.
- During the trial, some allowances are held at Starter-plan levels whichever plan you chose, and you can connect at most one LinkedIn account. The full allowances of your plan apply from the first charge.
- Cancel at any point before day 8 and you are not billed at all. Cancelling during a trial, or during a promotional period we have given you at no charge, ends access straight away rather than at the original end date, and the workspace moves to the Free plan.
3. Renewals
- Plans are billed monthly or annually, in advance, and renew automatically at the end of each billing period until cancelled. Add-on subscriptions renew the same way.
- Each renewal is charged to the card on file at the price then in effect. We give at least 30 days' notice by email before a price increase applies to your renewal.
- We email a receipt for each charge. Invoices, receipts and your payment method are available under Manage billing in Settings → Billing.
- All prices are in US dollars.
4. Upgrades and downgrades
- You can move between paid plans from Settings → Billing. The change takes effect immediately, and we email you to confirm it.
- Plan changes are prorated. On an upgrade, the difference for the rest of the current billing period is added to your next invoice. On a downgrade, the unused part of the higher plan becomes a credit on your billing account, which is set against your future invoices. Proration credits are never paid out in cash, and any credit left when your subscription ends is not refunded.
- If you change plan during the trial, nothing is prorated: the plan you are on when the trial ends is the one first charged.
- A plan change keeps your current billing interval and currency. To move between monthly and annual billing, email hello@warmerly.com.
- On a downgrade, the lower plan's limits apply straight away. If your workspace is over them, you have a grace period to reduce usage, after which the workspace may be restricted (including pausing campaign sending and warmup) until it is back within its limits or you upgrade. A workspace that drops back to the Free plan gets no grace period.
5. Add-ons
- OneMail hosted mailboxes are charged per mailbox, per billing period, on your workspace's subscription (or, on the Free plan, on a subscription of their own). Adding or removing a mailbox changes the quantity and is prorated in the same way as a plan change. When hosted mailboxes stop being paid for, they are suspended and later deleted as described in our Privacy Policy.
- LinkedIn account slots and WhatsApp number slots are separate monthly subscriptions, charged when you buy them, with no trial. Cancelling a slot takes effect at the end of the month already paid for, and the account or number using it is then disconnected.
- Credit packs are one-off payments. Purchased credits do not expire while your workspace exists.
- Quota blocks are bought with credits you already hold, only when you confirm the purchase — never automatically. They do not expire and do not reset at the start of the month.
6. Refunds
Payments already taken are not refunded. That applies to monthly and annual plan charges (including renewals you forgot to cancel), prorated charges, and add-ons — OneMail mailboxes, LinkedIn and WhatsApp slots, credit packs, and the credits spent on quota blocks. Unused allowances, credits and blocks have no cash value and are not refunded.
The point at which to decide is before the first charge, not after it. Every paid plan normally starts with a 7-day trial and nothing is charged until day 8, so cancelling at any moment in those seven days costs you nothing. Before that, the Free plan runs indefinitely with no card at all. Between them you can evaluate Warmerly properly without paying, which is why we do not operate a money-back window afterwards.
Cancelling part-way through a period does not produce a partial refund either — your access runs to the end of the period you have already paid for, and the workspace then moves to the Free plan.
We will refund a payment only where:
- we charged you in error, for example twice for the same thing, or after you had validly cancelled;
- we end your account for a reason other than your breach, in which case we refund prepaid fees for the period after it ends (Terms section 23);
- a mailbox qualifies under the 30-day inbox guarantee (Terms section 18A), in which case we refund that month's plan fee; or
- the law requires it, including your rights as a consumer (section 10 below).
Any other refund, credit or goodwill gesture is at our discretion, applies only to the case it was given for, and does not set a precedent. Approved refunds go back to the original payment method; how long they take to appear is up to your bank.
7. How to cancel
- Your plan: go to Settings → Billing, choose Manage billing, and cancel in the billing portal. Only the workspace owner can do this. There is no contract, no minimum term, and no cancellation fee.
- Slots and hosted mailboxes: remove them from the part of the app where you manage them. Removing a hosted mailbox ends the address.
- Agency client workspaces have no billing of their own: billing is managed from the Agency workspace.
- If you cannot cancel in the app, email hello@warmerly.com from the account owner's address before your renewal date, and we will cancel for you.
- Deleting a workspace that has its own paid subscription stops it renewing, but the current period is not refunded.
8. What happens when a paid plan ends
- Cancellation of a paid subscription takes effect at the end of the current billing cycle. You keep access until then, because you have paid for it.
- When a paid plan ends, the workspace moves to the Free plan rather than being closed. Your data is not deleted by cancelling.
- If the workspace is over the Free plan's limits, it is restricted straight away (including pausing campaign sending) until you reduce usage to fit, or subscribe again.
- When an Agency plan ends, its client workspaces are no longer covered by it, and each needs a plan of its own to continue.
9. Failed payments
- If a payment fails, we email you, and our payment processor may retry the charge.
- While the payment is outstanding, the workspace is restricted and automated activity — campaign sending, warmup and other automated sending — is paused. You can clear it at any time by updating your card under Manage billing.
- If the payment stays unpaid, the subscription may be cancelled and the workspace moved to the Free plan, and hosted mailboxes billed on it may be suspended. Amounts owed remain payable.
- A slot whose payment fails may be suspended, and the account or number using it disconnected.
10. If you are a consumer
Warmerly is sold for business use. If you are nonetheless contracting as a consumer rather than for business purposes, you have a statutory right to cancel within 14 days of subscribing under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. That right, and your rights under the Consumer Rights Act 2015, stand regardless of anything above. To exercise the right to cancel, email hello@warmerly.com with a clear statement that you are cancelling. If you asked us to start the service within the 14 days, we may deduct an amount proportionate to what you received before you told us, and we will refund the rest within 14 days of your notice.
11. Billing disputes and chargebacks
If you think you have been charged in error, email hello@warmerly.com within 60 days of the charge and we will look into it. Please contact us before your bank: opening a chargeback or payment dispute for a charge you owe breaches our Terms of Service, and we may suspend the account while it is open and recover any fees and costs it causes us.
